What we collect, why, how young people are protected, and what we’ll never do with it.
What we collect
This site asks for your email address before you enter it, so we know who is visiting; your browser then remembers that you have entered. It also has a handful of forms: team session requests, University Athlete Ambassador interest, family updates, operator inquiries, seminar interest, the operator consultation, and a general contact form. Each collects only what it asks for on its face, typically a name, an organization, and an email address. There is no advertising tracking on this site.
Our forms are for adults
Our forms are for adults and organizations: coaches, athletic directors, teachers, club administrators, parents, and university athletes applying to be ambassadors. Every form asks you to confirm you are 18 or older or writing for an organization. We do not knowingly collect personal information from anyone under 18. If we receive it by mistake, we delete it.
Sessions with under-18 teams
Every session with athletes under 18 is arranged through their school or club, at its invitation, with a coach or staff member present. The school or club sends parents and guardians notice at least 7 days before the session, and any parent or guardian may withdraw their child without giving a reason. We do not collect athletes’ names, contact details or betting behaviour as part of a session.
Why we collect it
To do the thing you asked: arrange a session, respond to a request, or send the occasional update you signed up for. Mailing lists are low-frequency and every email includes an unsubscribe link.
What athletes tell us
Anything an athlete tells an ambassador, about their own betting, a teammate’s, or harassment they have received, is never shared with a funding partner in any form: not identified, not aggregated, not anonymized, not as a case study.
Ambassadors do not promise young people secrecy. If an athlete under 18 tells an ambassador about a betting problem, harassment or a safety concern, the ambassador tells the coach or teacher present (or the school’s or club’s designated staff member, unless that person is involved) and our Safeguarding Lead the same day, following the school’s or club’s own rules, and points the athlete to help. Where Alberta law requires, it is reported to Child Intervention or police.
Evaluation & research data
Our programs will be evaluated by an independent evaluator, with research-ethics board review, using short anonymous surveys before and after sessions. Participation is voluntary. Athletes under 18 are surveyed only with a parent or guardian’s consent and the young person’s own agreement, and only under an approved ethics protocol. Results are published only in aggregate, with small groups suppressed. Partners receive program outcomes. They never receive people.
What we never do
Funding partners never receive athlete-level or institution-level data. We do not sell, rent, or share your information with gaming operators or anyone else for marketing. Information from operator consultations is confidential and is never referenced publicly, even in aggregate, without explicit consent.
How it’s stored
Form submissions are stored by our website host, Netlify (a US provider, so data may be stored outside Canada), and delivered to the Foundation by email. Pages load fonts from Google Fonts. The operator consultation saves your answers in your own browser so you can resume, records a random respondent ID and time spent, and sends your company, name, title and work email once you pass question 4. Saved answers are cleared from your browser once you submit. We keep general inquiries for 2 years from last contact and team requests for 3 years after the last session with that school or club; the full schedule is in our policy. Our Privacy Officer is our co-founder and interim chair, Victor Cui, until staff are hired. Ask us to see, correct or delete what we hold about you at any time: info@awarecf.com. We respond within 30 days.
Photography at our sessions and events follows the same rule as everything else here: releases are collected at capture, participation is optional, and minors are never photographed identifiably. Last reviewed October 2026. The full Data Governance and Privacy Policy and Safeguarding Policy were adopted by our board on 9 October 2026. This policy will be updated before any new data collection begins.
